Guidelines for action in the event of a major incident

Officer of the Day (OOD) / Senior Instructor / Committee Member should conduct an initial assessment of the situation and:

1. Ring 999 and request appropriate emergency assistance (Police/Ambulance/Fire Brigade).
2. Take a decision on whether to evacuate the club’s grounds.
3. If evacuation is considered the greater risk, take decision on relative merits of congregating in/around the clubhouse or at an appropriate safe area near an exit.
4. Take necessary action to inform all members on site.
5. Clear and ensure no entry/return to suspect locations.
6. Instructors are to take action to protect any unaccompanied children attending their courses.

Action taken will be dependent on the nature of the threat, or other potential hazard to the club, and the time scale within which to operate. The relative merits of evacuation/remaining at the club will be assessed on available information and guidance from the emergency services.

Once the incident has been dealt with the Officer Of the Day / Senior Instructor / Committee Member should complete an incident report. This will include issues encountered and lessons learnt. This will provide input to the clubs Risk Assessment.

Guidelines for action in the event of evacuation of the premises

Officer of the Day (OOD) / Senior Instructor / Committee Member should conduct initial assessment of situation and:

1. Ring 999 and call for Police assistance. Provide a mobile phone contact number.
2. If available, sound an alarm and make efforts to inform all members present.
3. Senior Instructors are to ensure that all Instructors/trainees are accounted for.
4. Coordinate the evacuation of the club. Senior Instructor should take details of children’s contact numbers.
5. Instructors should take action to protect any unaccompanied children attending their courses and ensure they remain calm and orderly.

It is suggested that, in the event of evacuation of the club grounds becoming necessary, there should be two main exits/meeting points.

1. If time and circumstances allow, evacuation by car via the main gate. Suggested meeting point, if needed, is the car park under the arches off Spine Road. Turn left out of the gate, left at the Cross Roads and the car park is on the right a few hundred yards on.
2. If evacuation is on foot, exit via the nearest public footpath. Suggested meeting point is “The Crown” Pub Car Park in Cerney Wick. Cerney Wick is the village next to the lake. (If using the road you would find it by turning right out of the gate, then next left and the pub is immediately on your right.)

It is suggested that, in the event of evacuation of part of the club grounds becoming necessary, the following areas of potential hazard be noted: –

• Oil or petrol is stored in the Generator shed and Safety boat sheds.
• The clubhouse is supplied by both electricity and gas.
